Comp Time and BillQuick

Understanding regular hours, overtime hours and compensation (comp) time is not small chore. The U.S. Department of Labor, Employment Standards Administration Wage and Hour Division (WHD), enforces minimum wage, child labor and overtime pay rules. On top of WHD are state labor laws and rules. If you want more information about the many issues, check out the WHD web site and Paychex’s Resource Library.

Once you are clear on the rules, who’s eligible, and how you plan to execute a Comp Time policy in your firm, tracking comp time within BillQuick is straightforward. Here’s a quick rundown.

  1. On the Client screen, setup your firm as a Client.

  2. On the Project screen, setup an Overhead Project and link it to your Firm. This ensures employees have an entity in which to bank and withdraw compensation time.

  3. Review the Activity Code, GEN:COMP. This activity is hard-coded into BillQuick (cannot be edited or deleted). Employees will withdraw comp time from banked time using the GEN:COMP activity code.

  4. On the Employee screen, Other tab, set the number of Standard Hours per Week and Day for each employee who is eligible for comp time.  Do not mark the Automatic Overtime checkbox. If you leave the Standard Hours fields blank, overtime and comp time are ignored.

  5. When entering time, BillQuick informs the user if time entered pushes the employee over the standard hours for the week or day, i.e. if all or part of the time is “overtime.” If it is, we recommend that you split the time entry into regular and overtime entries. If you do not mark the time entry as overtime, BillQuick treats it as compensation time.

  6. To withdraw banked comp time, add a non-billable time entry using the GEN:COMP activity code. 

  7. To view comp time used, available and remaining, select the Employee Compensation Hours report from the Reports, Employee menu. You can filter this report for a range of dates or period (this year or last year week, month, quarter, year), and for a range of employees and projects.


"Where is your firm database located?

Does a big question mark slap your head when a BillQuick Support Representative asks you this question?

Many users don’t know where their firm’s data is located on their PC or server. It’s just. . .there. Other users know it’s out there somewhere, they remember backing up the database to a tape or CD a few months back. (A few months!?! See Destined to Repeat History? in the August 2004 BillQuick eLetter.)

Finding the location of your firm data, either to back it up for safety or when working through an issue with a BillQuick Support Rep, is as easy and lowering your eyes. Look at the bottom of the BillQuick screen. . .

Well, what do you know, the complete path to your firm database. 

Be sure to backup your data. Don’t repeat history by having to re-enter it.


Current BillQuick Release Information

The latest version of BillQuick 2004 is 5.0.82.

If you have Internet access but do not allow BillQuick to automatically download updates (you turned off AutoUpdate in Preferences-Other 2), first turn on the AutoUpdate feature, then select Get Updates from the File menu. If you wish to check out the changes made in the latest version, view the log before downloading. When Get Updates is done, exit BillQuick. When prompted to install the update, click Yes.

If you have a large number of computers to update, or you prefer to download the update from the BillQuick web site, click here and select Save when prompted. Next, run the setup program from the folder in which it was saved. To view the latest update log, click here.
